Immunizations

For schools wanting to track children's immunizations, Transparent Classroom allows you to see at a glance if children have immunizations coming up and to view and update immunization information for each child. Before you begin, make sure that the Immunizations feature is turned on by going to [Admin] > [School Settings] > [Optional Features] > use the toggle to turn on any features you would like to use > [Save].

Before you will be able to see which children are ready or overdue for immunizations you'll need to enter the information about the vaccines, doses, and ages into the immunization schedule. 


Creating an Immunization Schedule

To set up an immunization schedule on your school's Transparent Classroom account, go to [Admin] > [Immunization Schedule]. 

Type the name of the immunization (e.g. Diphtheria, Tetanus, and Pertussis) under the "Name" column. Type the name of the vaccine (eg. DTaP) under the "Vaccine" column. 

In the "Doses" column, enter the age range/grade level requirements for each dose of each immunization. *Note: the Doses column requires specific formatting.* The age ranges, which can be in months (m) and/or years (y), are separated by two periods, and each dose is separated by a comma.

For example, Diphtheria, Tetanus, and Pertussis needs to be administered 4 times with at least one dose after the 4th birthday. In that case, you might want to include three doses in the age range of 0 - 12 years and one dose in the age range of 4 - 12 years. As you can see below, each range is separated by a comma and space.

Immunization_Schedule_Doses.jpg Age ranges must go from younger to older, so you won't be able to use any age range where the upper limit is larger than the lower limit (15m..4m).

You can also enter notes in the "Notes" column (eg. not required, before age 6, etc.). 

If you need to enter more immunizations than you have rows, click [Add Row] in the bottom left corner of the screen. 

Once you're finished, your immunization schedule will look something like this:

Be sure to click [Save] when you're done!

Viewing Immunizations by Classroom

Now that you have set up the immunization schedule, you can view the immunization report for each classroom by going to [Reports] > [Immunizations]. To switch between classrooms, use the dropdown at the top left.

Immunizations marked with a green checked box indicate that the child is up-to-date, while a red box with an "x" shows that children are past due. When a child enters into the age range for an immunization, there will be a gray box with an "a," which will change to an orange box with an exclamation point when the due date is close. 

As you receive information about a child's immunizations, you can update their individual immunization chart by clicking on their name on the [Immunizations] report, or going to their [Profile] and clicking [Immunizations].


Viewing Immunizations by Child

To get to a child's immunization chart, you can type a child's name in the search bar at the top to go to their profile and then click [Immunizations] in the menu on their profile. A child's immunization chart will look something like this:

From here, you can click [Add] in the row for the vaccine you are updating, enter the date, and use the dropdown to select whether that dose was received, skipped, or exempted.
