When the Children Disappear

Transparent Classroom manages active children and billing through periods we call sessions. You can view and manage sessions at your school by going to [Admin] > [Sessions]. If children have not been placed in a classroom when Transparent Classroom automatically enters the next session, no children will be available - it will seem as though they have disappeared, but worry not! In this article, you will learn how to avoid having your children disappear, as well as how to get them back if they do.

  • Enrolling children in upcoming sessions

Adding children to the current session

In Transparent Classroom, children are not automatically re-enrolled from one session to the next.  Because enrollment is the basis for invoicing, we want to make sure Admin users have control over which children are active in each session. This means that if the children are not placed in a classroom for each session, they will not show up on any record-keeping pages. 

If you find yourself in this situation, you can add children to the current session either from the [Classroom Placement] page or from a child's [Profile]. 

From [Classroom Placement]:

Go to [Admin] > [Classroom Placement]. Here you will see a list of all the current children and what classroom they were in for each session. Choose the session you want to assign in the upper right corner (eg. Summer 2019, 2019-20). If the child is staying in the same classroom for that session, simply copy the classroom over. If they're moving on to another classroom, use the drop-down menu to select the new classroom. 

You can also use the [Re-enroll] button to automatically copy children's classroom placement from a previous session to a future session. 

From a child's [Profile]: 

Alternately, you can change or add sessions to a child’s profile individually. Select a child and click [Edit]. Here you can add a child to a session or click [Add classroom] if the child will be moving into a new classroom. If a child is not showing up on [Classroom Placement], check their profile to ensure they have been added to the session. (Make sure to click [Save] at the bottom of the page to apply your changes to the child's profile.)


Enrolling children into upcoming sessions

If you want to get ahead of things, you can use the [Re-enroll] tool to quickly copy children from one session to another. Remember that this will move them into the same classroom as the previous session. Any children who will be moving into a different classroom will need to be adjusted on the [Classroom Placement] page.
