Refreshing Conference Report Data

Creating a Conference Report is a lot like printing out a piece of paper – once it's generated, it is a static snapshot of the child's data at that moment in time. However, you can now update the information included in that snapshot by choosing to "Refresh Data."

  • why you might want to refresh data
  • how to refresh data
  • what it actually means to refresh data

In addition to refreshing the data on your generated Conference Reports, you can now also refresh the template. This can be helpful if you have made changes to your conference report template after you have generated the reports. Why Refresh Data

A Conference Report, when generated, becomes a snapshot of the child's data at that moment (including lessons presented, attendance records, etc.), and does not automatically update, even if the child receives other lessons or attendance tallies within the reporting period. This is important to know if you generate Conference Reports before the end date of the reporting period. In which case, it's useful to effectively regenerate those Conference Reports by refreshing the data.


How to Refresh Data

An individual Conference Report can be refreshed by simply going to the Conference Report and clicking [Refresh Data] in the top right corner.

You can also choose multiple Conference Reports from [Children] > [Conference Reports] and refresh all of them.

Lastly, you can visit a child's Conference Reports and refresh them there.

Refresh Data: What It Does

Choosing to refresh data for a Conference Report does two things:

  1. It can update the reporting period of the Conference Report, and
  2. It pulls in the latest data, potentially overriding manual changes.

Once you've chosen the Conference Report(s) you want to update, clicking the [Refresh Data] button opens a dialog where you can choose to change the reporting period of the Conference Report(s). If you are updating multiple Conference Reports, the start/end date you choose will be reflected in all of them.

You will be warned when you're updating Conference Reports that have different start/end dates, to make sure you're not mistakenly setting them all to the same start/end date.

What Data is Overwritten

After conference reports are generated, guides are able to edit many components of those reports. For example, guides may manually change the name of the guide that produced the report or change the proficiency levels in the Standards Table. Upon refreshing the data for a conference report, all of these manual changes will be reset.

What Data is Not Overwritten

While most manual changes made to conference reports will be overwritten by refreshing data, there are several fields that you can expect to remain unchanged. These include:

  1. The entire skills table (if it's not cumulative),
  2. The most recent column in the skills table (if it is cumulative), and
  3. Any notes that are added to a section of the conference report
