Adding New Children
To get started with record keeping, you can add children into Transparent Classroom. Here, we'll show you how to add children in two ways:
- One at a Time
- By Importing a Spreadsheet (.CSV)
You can read on for instructions or watch this tutorial video:
Note: This video was recorded in 2016 and the site has changed a bit since then. If you have questions about anything in the video, please refer to the following article, or email us at info@transparentclassroom.com.
Adding Children Individually
If you are a guide or teacher you can add children to your classroom one at a time. Go to [Children] on the sidebar and select [Add Child] from the upper right corner. Enter the child's name, birth date, gender, and session.
Adding Many Children From a Spreadsheet
If you are an Administrator in Transparent Classroom, you may have an entire roster of children you would like to add. The easiest way to do this if you have an existing spreadsheet with all the children's information is to go to [Children] on the sidebar and select [Import] in the upper right corner. You will need columns for at least the child's First Name, Last Name, Birthdate, Gender, and Classrooms. It doesn't matter what the column names are because you will be able to connect them to the correct fields in the child profile.
You can also add children to multiple classrooms using this [Import]. Simply add additional classrooms to the "Classroom" column in your spreadsheet with each classroom separated by a comma and a space. The classroom has to already exist in Transparent Classroom for this to work. Once you import your CSV, the children will be added to all the classrooms listed in the classroom column for the session you selected.
Caution! If you add parents via this spreadsheet at this time, they will be sent email invitations asking them to set up their profile to view their child's page. If you are not ready to add parents to the system, do not import them at this time.
Feel free to contact us by email at info@transparentclasssroom.com if you have any questions while you're getting set up!
Pro-tip! If you use Forms, you can embed your school's Application form on your school website that will send the prospective child's information to Transparent Classroom. When you accept a child, you can create the child immediately from their application. Go to [Admin] > [Applications]. Select [Accepted] from the drop-down menu. You will be given the option to create the child or to create the child and the parents at the same time.
